The brand sells through Instagram and WhatsApp. Business was good — that was the problem. On a launch day, hundreds of messages landed within a few hours, and almost all of them asked the same four questions: price, available sizes, delivery charges, and "is this in stock?".
- Two people spent their whole day copy-pasting the same answers
- During busy hours, replies took 3–4 hours — customers bought from someone else
- Orders were confirmed inside long chats, then lost while scrolling
- After 10 p.m., the shop was effectively closed, but customers were still messaging
I connected the WhatsApp Business API to an automated flow (built with n8n) that reads the brand's live catalogue — prices, sizes, stock — from one sheet the team already maintains. The bot answers in the customer's language, Urdu or English, and sounds like the brand, not like a robot reading a script.
When a customer wants to order, the bot collects name, address and size step by step, confirms the order summary, and drops the complete order into one clean list for the team. Anything unusual — a complaint, a custom request — is handed to a human with the full chat attached.
- Instant answers for price, sizes, stock and delivery — straight from the live catalogue
- Guided ordering: item, size, name, address, done
- Urdu and English, matched to how the customer writes
- Human handover for anything sensitive, with full context
- Customers get an answer in seconds, at 2 p.m. or 2 a.m.
- The team's day is now packing and dispatch, not copy-pasting prices
- Every order lands in one list — nothing hides inside a long chat anymore
- Launch days stay calm: the bot takes the rush, humans take the exceptions
The owner summed it up in her own words: it feels like hiring a salesperson who never sleeps and never forgets a price.
The flow runs on n8n: a WhatsApp message comes in, the workflow checks the catalogue data, decides whether it is a question, an order or a handover, and replies accordingly. The catalogue lives in a structured sheet the brand updates itself, so a price change goes live in the bot the moment they save it — no developer needed.
Order data is written to the same sheet and mirrored into their CRM, and I documented the whole flow in a short guide so their team can adjust answers and timings on their own.
